AttendFlow
Getting started

Start managing attendance in three simple steps

Set up your organization, add your employees and start recording attendance.

How AttendFlow Works · 7:06 · Plays here from YouTube. Nothing loads from YouTube until you press play.

  1. Organization

    Branches, locations, rules

  2. Employees

    Invited, imported, placed

  3. Attendance

    Recorded and checked

  4. Reports

    Hours, lateness, absence

  1. 1

    Create your organization

Sign up, confirm your email, and set AttendFlow up the way your organization is actually shaped.

    Watch: Register your organization
    • Branches, departments that nest, teams and job titles
    • Work locations, each with its own position and boundary
    • Working hours and working days, per location
    • Holidays, so a non-working day is never counted as an absence
    • Attendance rules — how early people may check in, what a check-in has to prove
  2. 2

    Add your employees

Bring in the people you need to account for, in whichever way suits how you already hold their details.

Watch: Add, import and invite employees
    • Invite them by email, one at a time or in a batch
    • Share a self-enrolment link, or print a QR code for a noticeboard
    • Add someone manually when that is quicker
    • Import your whole workforce from a spreadsheet — every row checked and reported against its row number before anything is saved, and the import can be undone
    • Place each person in their branch, department, team and job title
  3. 3

    Start recording attendance

People check in and out at their work location. What AttendFlow checks as they do it is whatever your organization has configured — no more, no less.

    Watch: Check-in QR codes
    • Scan the QR code at the location, from a supported device
    • The location's geofence and allowed hours applied, where you have set them
    • Face verification as part of the check-in, where you require it
    • Scanning on behalf of a colleague, where your attendance policy allows it
    • A manager recording attendance directly, for the day that does not go to plan

See what's happening

From then on the record builds itself, and the questions you used to chase people for have answers on a screen.

  • Who is at work right now, and who is still expected
  • Who arrived late, and by how much
  • Who is absent, against the days they were contracted to work
  • Hours worked against hours expected, with breaks and overtime
  • Days that need a person to look at them, flagged as exceptions
  • Ten reports, over any period, exportable and scoped to a branch or team

What happens on a normal workday?

  1. 07:52

    An employee arrives

They record attendance using whichever method your organization has configured — usually scanning the code at their work location.

  2. 07:52

    AttendFlow checks it

The rules you enabled are applied: the location's geofence, how accurate the position has to be, the allowed hours, face verification where you require it. A check-in that fails one is refused, and the record says which.

  3. All day

    You can see it

The live view shows who has checked in, who is still expected and who has already left — for the whole organization, or one branch, department or team.

  4. End of day

    The record settles

Hours, breaks, lateness, early departures and overtime are worked out from the check-ins themselves. Anything odd — no check-out, an unusually long shift — is flagged as an exception rather than left to be found later.

Built around your attendance policy

AttendFlow does not decide how your organization works. These are the settings you choose, and the ones your check-ins are judged against.

Working hours

The working days and hours each location keeps, and the grace period before an arrival counts as late.

Attendance rules

Whether a check-in must be inside the geofence, how accurate its position must be, and the windows in which checking in and out are allowed.

Verification

Whether a check-in has to carry face verification, and whether one person may scan on behalf of another.

Leave policies

The kinds of leave you offer, who approves them, and what each person is entitled to.

Holidays

The non-working days that must not be counted as absence for anybody expected to be off.

Roles & permissions

Who sees what — scoped to a branch, a department and everything under it, or a single team.

Corrections

How a wrong record is raised and who may approve the fix, so changes are recorded rather than made quietly.
